Online booking

An online booking system that lives on your website.

Customers pick a service, a person and a time on your own site, or ask the chat to book it for them. You confirm in one click or let bookings confirm themselves, reminders go out on their own, and paid services are charged at booking once you connect payments. Services, team, branches, classes, packs and memberships are set up in one place.

Bookings come with every live site. There is no separate booking plan.

How it works

Set it up once. Then it runs the diary for you.

Switch on Appointments, tell it how your business works, and bookings start arriving on your site.

  1. 01

    Describe how you work

Tell the assistant your services, who does them and where, or fill in Services, Team and Branches. What you said while planning the site is set up when you switch Appointments on.

  2. 02

    Set hours and rules

Weekly hours for each person, time off, minimum notice, how far ahead people can book and the gap between bookings, all on your business’s clock.

  3. 03

    Customers book

On your site’s booking section, from a Book with Sam button on your team section, or by asking the chat on your site. Visitors see times in their own time zone.

  4. 04

    You confirm, or it does

Each service confirms instantly or waits for you. Confirm from the email, the week view or a notification on your phone.

  5. 05

    Reminders go out

Customers get a reminder a day and an hour before, by email and, if you switch it on, by text. Both are on by default and can be turned off.

  6. 06

    Customers change their own plans

A link in every booking email lets them move or cancel without logging in. A moved booking comes back to you to confirm.

What it handles

What a booking business needs, in one setup.

The same Appointments screen covers a one-person practice and a business with several branches.

Services and questions

Each service has its own length, price and place, and can ask its own questions at booking. Online appointments send their meeting link automatically.

Team and branches

Each person has their own hours. Branches can run in their own time zone, and your site’s team and locations sections stay in step with them.

Classes and party size

Run a weekly class timetable with a set number of spots. Restaurants and tours can take bookings by the number of people.

Packs and memberships

Sell a pack of sessions or a monthly membership. Customers use it instead of paying when they book, and see it under My passes.

Google Calendar

Times you are busy in Google Calendar are not offered, and new bookings are added to your calendar.

Waitlists

A full time offers a waitlist. You see who is waiting for each time and can take people off the list.

Paid at booking

Set a service to be paid online when it is booked. It charges through the payment provider you connect.

Booking from the chat

With Appointments on, the chat on your site checks real availability and books a time for the visitor.

Your side

Your week, at a glance.

Bookings land in Leads, next to the rest of your enquiries, so a customer is one record however they got in touch.

  • A week view on your clock

Open hours, time off, waiting and confirmed bookings, each shown differently. Click an open slot to add a booking for someone. On a phone it becomes a day-by-day list.

  • A morning email

The day’s appointments, sent around 7am your time on days you have bookings.

  • Bookings on the contact

Each customer’s record shows their appointments, and your inbox shows who is coming up.

  • Booking events for other tools

Send created, confirmed, rescheduled, cancelled and completed bookings to another tool by webhook.

Follow-up emails after a booking

Who it is for

For the business taking bookings, and the agency that set it up.

Small businesses

Clinics, salons, trainers, therapists, tutors, restaurants and tours. Booking happens on your own site, in its design, not on a page somewhere else.

  • Confirm in one click
  • Reminders on from the start
  • Customers reschedule themselves

Agencies

Deliver bookings as part of the site you build. Describe the client’s business to the assistant and the services, team and branches are created for you.

  • Set up in a sentence
  • Each client’s bookings in their own site
  • Booking events to the client’s other tools

Questions

What people ask about online booking.

Can customers book from the chat on my site?

Yes. With Appointments on, the chat checks your real availability and books a time for the visitor, with the same rules as your booking section.

Does it work with Google Calendar?

Yes. Connect a Google account and times you are already busy are not offered. New bookings are added to your calendar, marked as pending until you confirm them.

Do bookings confirm instantly or wait for me?

You choose per service. Instant services are confirmed straight away. Others wait for you, and you confirm from the email, the week view or your phone.

Can customers pay when they book?

Yes, for services you set to be paid online, once a payment provider is connected. Until then those services book without payment. Customers with a pack or membership use it instead of paying.

Can reminders go by text?

Yes. Reminders go by email by default. Switch on texting and they also go to customers who gave a phone number. SMS is a per-site add-on, from a number we manage or your own Twilio account.

What about time zones?

Your hours run on your business’s clock, and visitors see open times converted to theirs, with a switch to your time. Each branch can have its own time zone.

Can customers reschedule or cancel?

Yes, from a link in their booking emails, without logging in. They only see times you are open, and a moved booking comes back to you to confirm.

Does booking cost extra?

No. It comes with every live site. Text reminders need the SMS add-on, and paid services carry your payment provider’s fees.
